Onerous PDF Licence Policies Compromise Information Security, Drive Inefficient Document Workflows, and Hinder Business Performance
London, UK. – November 6, 2018 – The scope of PDF’s role as a strategic application to optimise document workflow processes within UK businesses is compromised by unnecessary software licence complexity, according to a recent survey. Commissioned by Nuance Communications, the survey was conducted among IT decision makers in the UK, looking specifically at how they use, create and share PDF files. Of the 60% of respondents who said that PDF is a critical business application, almost half (43%) said that licence complexity hinders their use of PDF software. Seventy-five per cent of workers who said that licence complexity hinders their use of PDF software, stated that PDF software is a strategic component of their document processes at work, painting a concerning picture with respect to the impact that licence complexity has on productivity and security across businesses in the UK.
To enable more companies to install PDF software on every desktop, forward-thinking PDF developers and publishers offer licensing options - including perpetual licensing models - to ensure customers aren’t burdened with inflexible or onerous licencing policies. This enables organisations to have better control over budget planning and a clearer insight into future licence costs.
For those businesses stuck with PDF solutions whose greater deployment is hindered by inflexible licencing options, the implications of the licence barrier to broader PDF adoption is even more acute; in today’s digital economy, an ever increasing number of documents – in physical or electronic form – flows in, around and out of an organisation. Therefore, if access to PDF solutions is compromised by complex licenses, then productivity and security maybe compromised, as PDF remains the most effective way to capture paper documents and convert them into electronic ones.
Furthermore, with heightened awareness around IT security, PDF documents combined with document security capabilities (like automated redaction) can significantly increase the success of an organisation’s overall data security practice. In particular the challenge that comes with licence complexity, means many private and public sector organisations cannot always exploit the security benefits of PDF across the whole organisation. This sits at odds with the measures they have put in place over the last twelve months to improve security processes, policies and procedures in preparation for regulations such as GDPR.
Tracey Mustacchio, senior vice president of product and marketing, Imaging division, Nuance Communications, said: “It is baffling to consider that although PDF has been around for the best part of 20 years and has become an essential tool for many businesses, its broader uptake has been challenged by dated licencing models. Flexibility and adaptability are crucial success factors for organisations today as they navigate varying customer demands, compliance needs, regional legal requirements and a myriad of technologies. For them to succeed, they need to find a solution that works best for them in their environment – not a solution and delivery model that works best for the vendor. In short, to benefit productivity and security, organisations want and deserve flexibility in the way they license PDF.”
